In Gradelink, generating Report Cards is a three-step process:

  1. Select the Terms you would like to include.
  2. Select a Mode and then select the Students you would like to include.
  3. Select a Profile and configure additional settings.


To get started, click on the Administrator Reports tab and select the "Report Cards" button. For some schools this button may have a slightly different name, so if you're having trouble finding it please contact Gradelink.



Step 1 - Select Terms

The first step in generating Report Cards in Gradelink is to select the Terms that you would like to include.



To select a Term, all you need to do is click on it on the list on the left. To select multiple Terms, you can either click and drag your cursor or you can hold down Control (Windows) or Command (Mac) while clicking each Term.


It's important to note that report cards in Gradelink are designed to display between one and six Terms, depending on which template you're using. If you try to select more than six Terms, the information becomes difficult to format properly and your report cards may end up looking distorted.


Furthermore, it's important to pay attention to what types of terms you select - Parent Terms or Child Terms. Generally speaking, you should not select both a Parent Term and its corresponding Child Terms. Parent Terms are designed to aggregate data from their Child Terms, so it is not necessary to select both when generating a report card.


Step 2 - Select Mode and Students

The second step in generating a report card is to select a Mode and then select Students. This is considered one step because which Mode you select influences which Students you can select.


There are two Modes when generating a report card:

  • Preview (also called 'Unofficial')
  • Normal (also called 'Concluded Only')


Preview Mode functions like a Progress Report and allows you to see what the report card will look like even if all of the classes in a term haven't been concluded yet. Normal Mode, on the other hand, is intended to be used at the end of the term and will only show classes that have been concluded. In fact, if you choose Normal Mode and there are any unconcluded classes in the selected terms, Gradelink will display a list of them on the right side of the page:



Generally speaking, if all of the classes in the Terms you have selected are already concluded, you should choose Normal Mode. If any of those classes are not concluded, then you should choose Preview Mode.


Once you have selected a Mode, you can then select Students. To make generating report cards easier, you can select students in three ways:

  • Individual: allows you to select individual students.
  • Class: allows you to select all students enrolled in a specific class.
  • Grade Level: allows you to select all students in a particular grade level.


Step 3 - Select Profile and configure additional settings

The last step in generating a report card is to select an appropriate Report Profile and make adjust optional settings.


Many schools have slightly different requirements for their report cards depending on grade level, academic achievement, or other miscellaneous factors and that's where report profiles come in. A report profile is essentially a collection of preconfigured settings that allow you to speed up the process of generating report cards and avoid having to make manual alterations every single time.


In addition to selecting the appropriate report profile, you can also configure additional content using the Report Card Options menu. The Report Card Options menu is unique for each report card template, but generally includes options such as whether or not Numbered Comments should appear on the report card and whether or not a Teacher's name should appear next to the classes they teach.


Most of the time, report profiles and report card options will be configured for you by Gradelink staff during Implementation. If you would like to learn more about creating or editing report profiles, please contact your account representative.


Last but not least, click Submit to generate the report card.
