In many cases, if a parent pays for child care they may qualify for a tax credit for these expenses. Gradelink can provide a report showing parents how much they paid for daycare in a given tax year.
Make sure a daycare or child care billing category has been set up in Financial.
- Click on Financial
- Click on Admin
- Click on Coding
- Click on number 30, Financial – Billing Category
- Make sure either Child Care or Daycare are in the list
- To add Child care or Daycare, click on the Add button
- Enter Child care or Daycare in the “Code / title to be displayed in dropdown lists:” field
- Be sure to click on the Save button that will appear at the lower right.
Create a Child care charge Transaction Type
- Click on Financial
- Click on Admin
- Click on Fees/Types
- Create a Child care charge
- Click on the box next to “Link this transaction type to attendance column billing” if attendance is used to facilitate child care billing.
- Indicate the name of the column on the attendance sheet used to bill for child care
Create a Child care payment Transaction Type
- Click on Financial
- Click on Admin
- Click on Fees/Types
- Create a Child care payment
- Click on the box next to “Include on daycare tax deduction report." Gradelink recommends including only the child care payment on the tax deduction report.
To produce a Child Care Expense Report
- In Financial, click on the Reports button
- Select Childcare Expenses if the family has one child in child care, or Family Childcare Expenses if more than one child is in child care.
- Select the tax year
- Click on Run / Refresh Report
- To produce a pdf that can be printed and given to the parent, click on the Generate PDF button.
