1. Go to Admin Reports > Data Exchange > Settings, set School Year, review other field values for accuracy, then click Save Settings.You should see a “Saved Successfully” message, which indicates the Key and Secret have been validated.




  1. Go to Admin Reports > Data Exchange > Validation and check various sub-tabs for issues.



  2. Use the Identities page for Students or Staff that are missing their STN or SPN. Common errors derive from differences in data between Gradelink and the IDOE Identity service. 

    1. First or Last Name spelling 

    2. Date of Birth

    3. Gender

    4. Ethnicity

    5. Race code



  3. In Data Exchange > Submissions, click the Submit/Update All Data button. This will ensure all resource tabs appear on the left side.


  1. Go to Settings > Date & Time >  Daily Attend. Settings > Specify Non-School Days to enter Holidays.



  1. Go to Admin Reports > Data Exchange > Settings to add Virtual Instructional Dates with the right DOE Calendar Events.



  1. In Data Exchange > Submissions

    1. Go to Calendar and click Re-Submit Calendar.



  1. Go to Calendar Dates and click Re-Submit Calendar Dates. To make changes to specific dates, delete them first. Make the change in Non-School Days and/or Virtual Instructional Dates, then Re-Submit Calendar Dates.



  1. For students that are not returning for the new school year: 

    1. In Students > Main > Demographics enter an Entered and Withdrawal date (1 day before first date of the school year) and Withdrawal reasonIf the student enrolled at another school on an earlier date, the Entered and Withdraw date must be 1 day before the other school’s first date of school. 

    2. For Students eligible for Funding, be sure to set a Tag equal to Choice. Otherwise the Responsibility setting will default to Attendance.



  1.  In Data Exchange > Submissions > Student School, use the Sync button next to the student.


  1. Similarly, use the Sync button in Student Ed Org Responsibility to update the Begin date and the Funding eligibility.




  1. Make sure high school students who graduated at the end of last year have:

    1. Graduation dates (in Students > Main > Demographics



    2. Diploma information (Students > Academics > Test/Awards/Diplomas) entered. Note that 2 diplomas should be entered, one for Employability Skills, and one for Post-Secondary Competencies. 



    3. In Data Exchange  > Submission, submit Student Academics.



  2. For Students or Staff that fail to submit to Data Exchange, rollover the error icon to see the reason for error. Correct accordingly, then resubmit.



  3. Review Term dates and their Ed-Fi Periods for accuracy.



  4. Review Classes per term and Course Codes for accuracy. Generally, students should not be enrolled in the same course code more than once per term.



  5. For Student Programs that are continuing from last school year, leave the Exit Date blank. For new programs starting in the new school year, insert the program and enter a Begin Date. Submit StudentPrograms.



  6. To make updates to data already submitted to Data Exchange:

    1. Find and delete (trash can icon) the record in Data Exchange/Submissions



    2. Make the change in respective Gradelink pages (Terms, Classes, Attendance). 



    3. Re-submit the resource.





  1. Double check Attendance Settings (Settings > Daily Atten. Settings). Ensure appropriate EdFi Event Categories are selected, and a duration of no more than 1 is collected per day. Half (0.5) and Full (1.0) are the allowed attendance durations per day per student. Multi-select, which allows selecting multiple Attendance values for the day, should only be used for attributes that don’t affect present/absent totals, such as Tardy.



  1. For Attendance corrections, delete the record first. Make the correction in the Attendance page. Then Re-Submit Attendance Dates.




  1. At the end of a Term, after classes are concluded, go to Admin Reports > Data Exchange > Submissions, and make sure the following resources are Re-Submitted:

    1. Course Offerings

    2. Sections

    3. Student Sections

    4. Student Academics

    5. Course Transcripts

    6. Staff Sections
